How to read a supplier's reply — spotting real, capable, relevant suppliers
You told us what you wanted to source. We found suppliers and they responded through our channel. That first reply in your inbox is good news — but it is not the finish line. The job now is to tell, quickly, which replies are worth your time. Here is the buyer's checklist we wish every first-time importer had.
1. Real: is this an actual company, not a phantom?
A real supplier can be checked three ways, and none take long:
- Domain matches the company. A reply from
sales@acme-led.comfor "ACME LED Co." lines up. A generic free-mail address (hotmail, 163, gmail) is not a red flag by itself — many legitimate small factories use one — but paired with no website it is a reason to dig. - The website is specific, not templated. Real suppliers show real products, real certifications, real photos of a line or a warehouse. A site that could belong to any "factory" is a weak signal.
- They answer a basic question concretely. Ask for their MOQ and lead time. A real supplier answers in numbers; a broker or a ghost buys time with vagueness.
2. Capable: can they actually make your product?
"We can supply" is the easiest sentence in sourcing. What you want is evidence they have made your type of product before:
- Product-specific proof. Photos or specs of a comparable item, not just a catalogue cover. If you source solar brackets, a bracket they shipped last month beats a generic "we do metal parts."
- Certifications that match your market. CE for Europe, UL for the US, etc. Ask which they hold for this product, not in general.
- Honest limits. A supplier who tells you "we don't do X, but we can do Y" is more trustworthy than one who says yes to everything. Capability includes knowing your own edges.
3. Relevant: are they a fit for your request?
Relevance is where buyers lose the most time. A supplier can be real and capable and still wrong for you:
- Scale fit. A factory built for container loads is a poor fit for a 200-unit trial, and vice versa. Match their typical order size to yours.
- Market fit. A supplier whose entire export history is one region may not know your market's compliance rules. That is manageable, but know it upfront.
- Role fit. Watch for the trader posing as a factory. Many excellent traders exist — but if you specifically need a manufacturer (for custom tooling, say), know which one you're talking to. We flag procurement vs. sales contacts precisely because the buyer-side signal tells you who you're really dealing with.
A 2-minute triage you can reuse
For every reply, before you go deep: (1) does the domain/website match the company and show real products? (2) do they give concrete MOQ, lead time, and product-specific proof? (3) does their scale and market match your request? Three yeses → worth a call. Any hard no → move on without guilt.
